Who we are
This website is operated by JobFinalCheck, a FillFold solution, which is responsible for your data (the controller). For anything about your data, email contact@jobfinalcheck.com.
What we collect
Your calculations and letters are built in your browser. Your answers, your dates and pay, your employer’s details and the letter itself are never sent to us. If you say the device is your own, your answers are kept on that device so you can pick up later; you can delete them at any time. The free calculators and checks work the same way: what you type is not sent to us.
When you buy a letter, you give an email address for your receipt. It is kept with your payment record by our payment provider, together with the letter bought, the amount and the date. We never see your card number. To limit misuse of purchase codes, we count how many times a purchase is used each day; the count holds no personal data.
If you ask for reminders, we keep only your email address (encrypted), the date of each reminder and the kind of letter. Never your answers. Each reminder is deleted as soon as it is sent, and every email has a link to delete all your reminders at once.
Free reminders (without a purchase) work the same way, with one extra step: we first email you a link to confirm your request. A request you do not confirm is deleted after 24 hours. Your address is stored encrypted, and every reminder has a link to stop all your reminders.
To understand which pages are useful, we may count visits with a privacy-friendly analytics tool hosted on our own server. It uses no cookies, does not store your IP address and does not follow you across other websites. We only see totals, such as the number of visits to a guide.
Why, and on what basis
Your purchase address is used only for your receipt and your purchase code, to perform our contract with you (GDPR Article 6(1)(b)). Your reminder address is used only for the reminders you asked for, on the basis of your consent (Article 6(1)(a)). You can withdraw your consent at any time with the link in our emails, which deletes your address, or by writing to us.
Our visit counts and download counts rely on our legitimate interest in improving the site and preventing misuse (Article 6(1)(f)) and involve no personal profile.
Where your data is kept, and how it is protected
Email addresses are encrypted (AES-256) before they are stored in a database on our own server in the European Union. The site is served over HTTPS only.
Payments are handled by our payment provider, Stripe, under its own privacy policy. Emails are sent through an email delivery service acting on our behalf, under a data processing agreement. These providers may process data outside the European Union, under the safeguards the GDPR requires (such as the EU–US Data Privacy Framework or standard contractual clauses). We do not sell or share your data with anyone else.
How long we keep it
Reminders are deleted when sent. Payment records are kept by our payment provider for as long as tax and accounting law requires. We delete your data sooner if you ask, unless the law requires us to keep it.
Your rights
You can ask to see, correct or delete your data, to restrict or object to its use, or to receive a copy in a portable format, by writing to contact@jobfinalcheck.com. You can also complain to the data protection authority of the country where you live: in the United Kingdom, the Information Commissioner’s Office (ico.org.uk); in Ireland, the Data Protection Commission (dataprotection.ie).
